To see the certified emails sent by an issuer, in the upper right menu you have to select "Evidences | My EviMails".


List of fields in EviMail


All EviMails are loaded in the middle of the screen (including drafts).



The fields that appear are listed below:

  • Status: Graphic display of the message status within the sending process:
    • Draft: A copy of the message has been saved, but it has not been sent yet.
    • New: The message has been registered in the system and it will be processed and validated.
    • In progress: The message has been internally processed and validated. It will subsequently be sent.
    • Sent: The recipient's mail server has acknowledged the delivery of the email.
    • Dispatched: The message has been sent.
    • Delivered: The server has put the message in the recipient's mailbox.
    • Open: The recipient has opened/read the message.
    • Answered: The message‘s recipient has answered the message.
    • Failed: Email processing has failed.
    • Closed: The email has been processed and delivered, and the delivery has been successfully completed.
  • Recipient: Name of the person or company, e-mail address that receives (recipient), and legal identifier (in case of having completed it) the EviMail.
  • Subject: A brief description of the content of the message.
  • Creation: The date on which the EviMail was registered in the system.
  • Size: It indicates the size in bytes of the EviMail and its attachments.
  • Occurrences: Graphic display of the EviMail status.
    • Sent.
    • Open.
    • Accepted or rejected.
  • Last update: It corresponds to the last date and time (UTC) in which an event occurred.
  • The last column shows more details of the EviMail, such as if it has attachments or if it is an EviMail with a web opening.



Selecting an EviMail to see its content

To view the content of an EviMail, simply select one of them on the main screen.




Once selected, the information that appears in the message is as follows:



  • Summary: Summary of the status of the process.
  • Content: In this section, the body of the message appears on the one hand, and on the other, the following action buttons:
    • Answer: [When it has occurred] both the answer and whether the message has been accepted or rejected are shown.
    • Subject of the message:
    • Body of the message: The message content text is shown:
    • Action buttons: With each message in detail, you can choose from the following actions:
      • Open in a new window: Open the CAM URL (unique internet address where you can view the notification) in a new window.
      • Event History: A new modal window appears showing a history of what happened since the email was registered in the system. The messages that appear are listed below:
        • Message created.
        • Content of the certified message.Content of the certified message.
        • The message has been sent to the courier service for shipment.
        • Failed to deliver to the courier service.
        • Message delivered to the recipient.
        • Failed to deliver to the recipient.
        • Message send to the recipient.
        • Message delivered to the recipient by the courier service.
        • Message opened by the recipient.
        • Message accepted and answered by the recipient.
        • Message rejected and answered by the recipient.
        • The message has expired before being delivered.
        • Failed to deliver or process the message.
        • Unknown or unidentified event.
        • Closed message.
      • Reuse: It takes you to the "New EviMail" screen where all the options and content are filled in with the same values ​​as the original email. Evicertia considers this message as new and starts the process again.
      • Download: It allows to download the original content sent in the notification and Affidavits. If we apply a SHA-256 feature to this content, we can obtain the cryptographic summary included in the Affidavit.
        • Content of the message: It allows to download the original content sent in the notification.
        • Attachments: It allows to download the attachments.
        • Last Affidavit: It allows to download the last Affidavit.
        • All affidavits (zip): It allows to download all Affidavits.
        • Download all (zip): It allows to download all Affidavits, content and attachments.
      • Print: If pressed, the whole content of the message is printed.
  • Attachments: Attachments that have been added to the email are shown. By clicking on the attachment icon, you can view or download the attachment.
  • Affidavits: All the certifications that have been generated since the email was entered in the system until the time of the query are displayed. For each of these certifications a PDF document is generated (signed, sealed and optionally, deposited with a notary). By clicking on the icon you can view the affidavit or download it.   • Details: Evidence details are shown.
    • Universal Locator: Information about the unique message identifier in Evicertia.
    • Type of evidence: It indicates what type of evidence the message is, if it is an EviMail, or an EviMail with web opening.
    • Status: It shows the status of the EviMail.
    • Outcome: It indicates the outcome of the EviMail.
    • Sender: Name of message’s sender.
    • Name or legal name: Legal identification of message’s sender.
    • Recipient/s: Name or legal name of recipient.
    • Creation date: Date and time when the message is created.
    • Admission Date: Admission date and time and certification of content
    • Submission Date: Date on which Evicertia has sent the message.
    • Opening Date: Date on which the receiver pressed the box “accept or reject”
    • Tracking end date: Date on which notifications or answers will stop being generated and their archiving will follow.
    • Years of online custody: Time in years of online custody.
    • Years of notarial deposit: Time in years of notarial deposit.
    • Notary: It shows the profile of Notary.
    • Level of certification: Certification with which the sending is made.
    • Profile of Affidavits: The affidavits that will be generated are shown.
    • Chances for agreement: Chances for agreement
    • Comments are allowed. Entering comments when accepting/rejecting the message is allowed.
    • Custody Access Control: Access control to the message.
    • Language: Language of notifications of the message.
    • Appearance: Add header and/or prefixes to the subject highlighting that the communication is certified.
    • Total size with annexes: Total size of the message with attachments.
    • Content Size: Total size of content.
    • Content Hash: Cryptographic summary of sending.
    • Cost Centre: Cost Centre profile.



To exit any modal window, press the cross (x) on the top right of the page. It takes you to the screen where the modal window was opened.


Other Actions


Other actions can be carried out on the list of EviMails, including those shown below

  • Sorting: As in any other email or webmail software, Evicertia allows to sort emails by any of the fields in the list. To start sorting them, you have to click on the name of the desired field.
  • Search: It is allowed to select messages in which some of the fields of: Recipients or Subject, the text you entered in this field appears,
  • Advanced: By clicking on this button, a modal window appears that allows to select the fields and set values ​​to run the filter. More information can be found on the following link: search filters.
  • Refresh: On the top right of the page there is a small button that allows to reload the list (and thus avoid reloading the page).
  • Reports: It allows to request reports in excel or csv format, with the data of the processed messages.
  • Organization/Owner: Next to the refresh button there is a drop-down displaying several items.
