An EviPost allows for certified notification to third parties by post, in paper format and in a sealed envelope to the address indicated by the customer.

The certified notification includes the certified copy of the document sent or notified, with mechanisms to control the integrity of the content and acknowledgement of receipt of the sending, as well as the time stamp at the time of receipt. Exclusive delivery to the addressee after identification with ID card, which guarantees the confidentiality of communication with the client.

To send a new EviPost from Evicertia website, there are two options: 

  • Option Postal notification, and on the right, Submit now. 
  • From the upper drop-down menu, select New... And then, EviPost. 

Once you have clicked on any of the aforementioned options, you will access the EviPost sending page. This screen shows a series of fields related to recipient and sender data, as well as a field where you can upload the document you want to send.

  • Clean: It cancels the process of composing the message.
  • Save: It allows to save the EviPost as a draft, until the issuer finally sends it.
  • Preview: It generates a preview of the delivery outcome showing all the elements.
  • Send now: It initiates the postal notification delivery process.


Fields to complete


The fields to complete in the process of issuing an EviPost are shown below:

  • Destination
    • Name and or identtifying data: Full name of the individual to whom the message is addressed (the more identifying data the better)
    • Address: Postal address of addressee
    • Locality: Place of destination
    • Region: Region of the destination
    • Country: Country of the destination
    • Phone: Phone number of the recipient. must start with country code.
    • Email Address: Email address of the recipient.
  • Issuer data
    • Issuer name: Full name of the person sending the message.
    • Corporate name: Corporate name or name of receiving legal person
    • Address: Issuer's postal address
    • Locality:  Issuer's Locality
    • Region: Issuer's Region
    • Postal code: Issuer's Postal code
    • Country: Issuer's Postal code
    • Phone: Issuer's Phone Number, must start with country code.
    • Email Address: Email Address of the issuer.
    • Additional user's comments associated with the event
  • Advanced Options:
    • Cost Centre: Code of the centre to which the EviPost consumption will be allocated.
    • Language of notifications: It allows to choose between the languages ​​of the drop-down and defines the language in which the notifications will be displayed.
    • Notarial Deposit: If this check is enabled, the evidence generated will be deposited with a notary public for a period of 5 years.
    • Notary: It allows to choose in which notary the evidence will be deposited.
    • Retention Period: It indicates the number of years during which you want the evidence to be accessible on Evicertia website. The default value is 1.
    • Custody Access Control: It defines the way in which the content under custody can be accessed when the reference URL is known. You can take the following values:
      1. Anyone who knows the link.
      2. Users of related sites (issuer/recipient)
      3. Challenge question/answer: In this case it will be necessary to indicate the question and the correct answer.
      4. Request of random known data: The user who has access to the information will be asked for a piece of information that he must know, for example the sender's email.
    • Security Tags: Tags controlling access. Only users with the same tag will be able to access. Security tags are defined in the user‘s profile.

Finally, attach the PDF that you want to send to the Recipient and send it by clicking on the button “Submit now”.
