EviMail is an email in which the content, the time and the delivery are certified. The referral is made in a transparent way and evidences are kept under custody online and notarially. The way to compose an EviMail is identical to that of any email service using a webmail or an email such as @yahoo.es, @gmail.com or @hotmail.com, among others.

Evicertia certifies the content and the notifications of the answers.

To send a new EviMail you have two options:

  • From the main window, select the option Certified email, and on the right, Submit now.
  • From the upper drop-down menu, select New... And then, EviMail.

Fields to fill in:




  1. Recipients: Name of the person or company to be listed as the recipient of the notification. Multiple recipients can be included (up to 25). 
  2. Carbon Copy: Name of the person or company to whom a copy of the notification is to be sent. Multiple recipients may be included (up to 25).
  3. Edit the issuer‘s data: Set of data identifying the sender of the EviMail. 
  4. Custome Options: These are customisation elements that can be configured when composing an EviMail:
        • Cost Centre: Code of the centre to which the EviMail consumption is to be assigned.
        • Language of Affidavits: It allows to choose between the languages ​​of the drop-down and causes the affidavits to be generated in the chosen language.
        • Language of notifications: It allows you to select the language in which the recipient will receive the notifications.
        • Appearance: It supports the following options:
          1. Certificates: It causes the inclusion of a banner in the mail informing the receiver that the message is certified.
          2. As it is: The message is received without the certificate banner.
        • Tracking until: Date until which the message will be tracked. It is the message life time parameter of the message and involves that once this date is reached, delivery attempts will no longer be made, and in case of standard certification, this would be the moment when a summary Affidavit is generated.
        • +Level of certification: It specifies the level of certification that will be applied to the message. You can choose between these values:
          1. None: No affidavits are generated, only Tracking, alerts and traceability.
          2. Standard: A Summary Affidavit is generated at the date of expiry.
          3. Advanced: Multiple Affidavits with timestamp.
        • Affidavit Profile: It shows when the content of the message content will be included in the Affidavits:
          1. Content on the sending: the content appears in the sending Affidavit.
          2. Content at closing: the content appears in the final Affidavit.
          3. Content on creation and at closing: The representation of the content is included in both Affidavits.
        • Chances for agreement: This parameter provides the recipient with the possibility of showing his agreement or disagreement with the content by showing such possibility at the bottom of the received email. If this parameter is enabled and the recipient makes an option, an affidavit will be generated with the result of his decision. It admits the following values:
          1. Disabled: In this case, there is no possibility for the recipient to accept or reject the content of the communication.
          2. Accept: The receiver is allowed to accept the content of the message or do nothing.
          3. Reject: The receiver is allowed to reject the message or do nothing.
          4. Accept or reject: The receiver is allowed to take one of both options.
        • Allow comments: This option will appear only if one of the following agreement possibilities has been enabled (accept, reject, accept or reject), it will allow the recipient to add comments when accepting or rejecting. This comments will appear in the corresponding Affidavit.
        • Notarial Deposit: If this check is enabled, the evidence generated will be deposited with a notary public for a period of 5 years.
        • Notary: It allows to choose in which notary the evidence will be deposited.
        • Retention Period: It indicates the number of years during which you want the evidence to be accessible on Evicertia website. The default value is 1.
        • Custody Access Control: It defines the way in which the content under custody can be accessed when the reference URL is known.
          1. Anyone who knows the link.
          2. Users of related sites (issuer/recipient)
          3. Challenge question/answer: In this case it will be necessary to indicate the question and the correct answer.
          4. Request of random known data: The user who has access to the information will be asked for a piece of information that he must know, for example the sender's email.
  5. Attach files: In this section, the files that you want to go along the notification will be attached. In this section, the limits on the size of the files, the files to be attached or the maximum size of the messages are reported.
        • Select files: Utility to select files.
        • Drag & Drop: It allows you to drag the files you want to attach.
  6. Subject: Short description of what you want to communicate to the EviMail‘s receiver.
  7. Message: Field where the sender writes what he wants to communicate the receiver.
