To see the certified emails sent by an issuer, you have to select "Evidence | My EviSigns".


List of fields in EviSign


All EviSign are loaded in the middle of the screen (including drafts).





The fields that appear are listed below:
Left menu


  • Signer: It shows the EviSign relationship where the user who has logged into the platform appears as a signer. These will appear grouped in three folders:
    • Pending: Documents pending to be signed by the user are shown.
    • Active: It shows all the documents that the user has active: those that are pending to be signed and those that are pending to be closed (for example, because there are other signers pending).
    • Closed: It shows all the documents that have already been closed, accepted, rejected, expired, etc.
  • Notified: It shows the EviSign relationship where the user who has logged into the platform appears as notified:
    • Active: It shows all active documents that the user has: In other words, the signature cycle has not yet been completed or they have not yet reached the life time in case of standard certification.
    • Closed: It shows all the documents that have already been closed, accepted, rejected, expired, etc.
  • Owner: It shows the EviSign relationship where the user who has logged into the platform appears as issuer: These will appear grouped in two folders:
    • Active: It shows all active documents that the user has: In other words, the signature cycle has not yet been completed or they have not yet reached the life time in case of standard certification.
    • Closed: It shows all the documents that have already been closed, accepted, rejected, expired, etc.
  • Reviewer: It shows the EviSign relationship where the user who has logged into the platform appears as Reviewer. These will appear grouped in three folders:
    • Pending: Documents pending to be reviewed by the user are shown.
    • Active: It shows all the documents that the user has active: those that are pending to be reviewed and those that are pending to be closed (for example, because there are other signers pending).
    • Closed: It shows all the documents that have already been closed, accepted, rejected, and expired, etc. in which the user acted as a Reviewer.
  • Organization: In case the user is admin, it shows the EviSign relationship of all users in the organization: These will appear grouped in two folders:
    • Active: It shows all active documents that the organization has: In other words, the signature cycle has not yet been completed or they have not yet reached the life time in case of standard certification.
    • Closed: It shows all the documents of the organization that have already been closed, accepted, rejected, expired, etc.


Central Area

  • Status: It indicates the status of the message:
    • Draft: A copy of the message has been saved, but it has not been registered in the system yet.
    • Forwarded: The message has been registered in the system and it will be processed and validated.
    • Processed: The message has been internally processed and validated. It will subsequently be sent.
    • Sent: The recipient's mail server has acknowledged the delivery of the email.
    • Closed: The message has been processed.
  • Outcome: It shows the outcome of the signature process. You can take the following values:
    • None (awaiting).
    • Signed.
    • Rejected.
    • Expired.
    • Failed.
    • Signature cancelled.
  • Subject: A brief description of the content of the message.
  • Creation date: The date on which the EviSign was registered in the system.
  • Owner‘s email: Owner‘s email: address (issuer).
  • Occurrences: Graphic display of the EviNotice status. The status are the following ones:
    • Sent.
    • In progress
    • Accepted/Rejected
  • Last update: It corresponds to the last date and time in which an event occurred.


Selecting a EviSign to see its content


To view the content of an EviSign, simply select one of them, which will represent the following modal.





The information that appears in the message is as follows:



  • Content: In this section you will find:
    • Subject: it shows the subject of the signature notification received by the signers, reviewers, and interested parties.
    • Summary of the status of the process, which summarizes the date and time status of the document, as well as the participants and the actions pending or carried out by each of them.
    • Content: The full content of the main document is shown.
    • Action buttons: In the right hand of the content, a series of buttons appear that allow to perform a series of actions:
      • Open in a new window: Open the CAM URL (unique internet address where you can view the notification) in a new window.
      • Event History: A new modal window appears showing a history of what happened since the EviSign was registered in the system. The messages that appear are listed below:
        • Message created.
        • Content of the certified message.
        • The message has been sent to the courier service for shipment.
        • Failed to deliver to the courier service.
        • Message delivered to the recipient.
        • Failed to deliver to the recipient.
        • Message delivered to the recipient by the courier service.
        • Message opened by the recipient.
        • Message accepted and answered by the recipient.
        • Message rejected and answered by the recipient.
        • The message has expired before being delivered.
        • Failed to deliver or process the message.
        • Unknown or unidentified event.
        • Closed message.
      • Reuse: It takes you to the "New EviSign" screen where all the options and content are filled in with the same values ​​as the original email. Evicertia considers this message as new and starts the process again.
      • Download: It allows to download the original content sent in the notification and affidavits. If we apply a SHA-256 feature to this content, we can obtain the cryptographic summary included in the affidavit.
      • Content of the message: It allows to download the original content sent in the notification.
      • Last affidavit: It allows to download the last affidavit.
      • All affidavits (zip): It allows to download all affidavits of the notification in a zip file.
      • Download all (zip): It allows to download all affidavits and content of a notification in a zip file.
      • Print: If pressed, the whole content of the message is printed.
  • Affidavits: All the certifications that have been generated since the message was entered in the system until the time of the query are displayed. For each of these certifications a PDF document is generated (signed, sealed and optionally, deposited with a notary). By clicking on the icon you can view the affidavit or download it.   • Details: Evidence details are shown.
    • Universal Locator: Information about the unique message identifier in Evicertia.
    • Type of evidence: Electronically signed document.
    • Status: It shows the status of the EviSign.
    • Outcome: It shows the outcome of the EviSign.
    • Sender: Name of message’s sender.
    • Sent from: Email of the message‘s sender.
    • Signers: It indicates the name, legal identification and email or mobile phone of the signers.
    • Additional Terms: It indicates the additional terms of the evidence.
    • Notified: It indicates the notified persons of the EviSign.
    • Creation date: Message registration date in Evicertia.
    • Tracking end date: Date on which notifications or answers will stop being generated and their archiving will follow.
    • Years of online custody: Time in years of online custody.
    • Notarial Deposit: Time in years of notarial custody.
    • Notary: It shows the profile of Notary.
    • Level of certification: Certification with which the sending is made.
    • Profile of Affidavits: The affidavits that will be generated are shown.
    • Chances for agreement: Chances for agreement
    • Comments are allowed. Entering comments when accepting/rejecting the message is allowed.
    • Custody Access Control: Access control to the message.
    • Language: Language of notifications of the message.
    • Total size with annexes: Total size of the message with attachments.
    • Content Size: Total size of content.
    • Content Hash: Cryptographic summary of sending.
    • Cost Centre: Cost Centre value.
    • Internal reference: It indicates the system internal reference.
    • Security Tags: It indicates the security tags.


To exit any modal window, press the cross (x) on the top right of the page. It takes you to the previous screen before opening the modal window.

Other actions


Other actions can be carried out on the list of EviSign, including those shown below

  • Sorting: As in any other email or webmail software, Evicertia allows to sort emails by any of the fields in the list. To start sorting them, you have to click on the name of the desired field.
  • Refresh: On the top right of the page there is a small button that allows to reload the list (and thus avoid reloading the page).
  • Filter: Next to the refresh button there is the filter messages button. By clicking on this button, a modal window appears that allows to select the fields and set values ​​to run the filter. More information can be found on the following link: search filters.
